AI Use & Privacy Disclosure
Armadale IT Support uses artificial intelligence (AI) tools as a productivity, research and knowledge-support resource where appropriate.
We recognise that the use of AI also creates responsibilities concerning privacy, confidentiality, accuracy and professional judgement. For this reason, we place practical boundaries around how AI is used within our business.
How We May Use AI
AI tools may be used to assist with activities such as:
researching publicly available technical information;
exploring technical problems and possible solutions;
developing internal procedures and checklists;
drafting or reviewing general website and educational content;
improving the clarity and organisation of general information;
assisting with non-client-specific business planning, documentation and research; and
keeping informed about developments in technology, cybersecurity and IT support.
AI-generated information is treated as a supporting resource and not automatically accepted as correct. Technical information may require verification, testing and professional judgement before it is relied upon.
Client Information and Privacy
Armadale IT Support does not routinely upload personal client information to public or general-purpose AI services as part of providing IT support.
Our normal use of AI does not involve providing AI systems with client emails, email accounts, contact lists, CRM records, passwords, authentication information or other confidential client information.
AI is not used to routinely read, monitor or analyse client email or CRM systems.
Where technical assistance is sought using AI, information should wherever practical be limited to the technical details necessary to investigate the issue and should not include information that unnecessarily identifies the client or another person.
Passwords and Access Credentials
Passwords, authentication codes, recovery keys and other access credentials should not be entered into AI systems as part of our normal use of AI.
Access to a client’s computer, account or information system remains subject to the authority provided by the client and the requirements of the work being performed.
AI Does Not Replace Professional Judgement
AI can assist with research and problem solving, but it does not replace hands-on assessment, testing, technical experience or professional judgement.
Recommendations concerning a client’s computer or technology environment are based on the circumstances of the particular matter and the information available during the assessment.
Where appropriate, information obtained with AI assistance may be independently checked against vendor documentation, technical documentation or other relevant sources.
Website and Published Information
AI tools may assist with researching, drafting, reviewing or organising some information published by Armadale IT Support.
Published material remains subject to our review, and responsibility for what is published remains with Armadale IT Support rather than the AI system used to assist with its preparation.
Our Approach
Our approach to AI is straightforward:
Use AI where it can improve research, efficiency and access to knowledge — while maintaining appropriate boundaries around client privacy, confidential information, system access and professional responsibility.
As AI technology and its use in business continue to develop, we may review and update this approach where appropriate.
